Plan in advance

Some activities at the College, such as Board meetings, Commencement and Orientation may be planned years in advance.  Admission recruiting days, academic performances, and a few lecture series take place during the same time every year.  With this in mind, it's best to plan events well in advance to make certain that space and event support will be available.  The best tool to use for checking future dates is the College Calendar.



View the reservation book to see scheduled events. Take notice of what large events are close to the activity you are planning.

If you are planning a Monday or Friday event, add enough time for event support, otherwise you may incur overtime charges.

Think about event needs (food, tech, AV)  and share concerns with the Campus and Community Events staff.

If a guest speaker plans to use power point, or a microphone, remember that some AV systems do not include portable speakers.

Give Sodexo plenty of notice to prepare a menu (five days minimum)  and quote for your food needs (see Saint Mary's Food Policy




AV Support 

Support may be limited on the weekends and in the evenings.  But if you encounter a problem during the academic year and need assistance, please contact the Help Desk at 574-284-4715. If the guest speaker or presenter is using an Apple or Mac computer, make certain you have the correct adapter cord.  The College does not have an available supply of adapter cords.
